1. Who is responsible

JN OCEAN HORIZION HOLDNGS PTY LTD, registration number 2026/553754/07, trading as Ocean Horizon Cleaning, is the responsible party for personal information whose processing purposes and means it determines. Privacy and records-access enquiries should be addressed to Nicole Walters, the nominated Information Officer contact, at info@oceanhorizoncleaning.com or 084 956 4051.

2. Information and sources

We receive information directly through enquiries, phone calls, email, WhatsApp and service arrangements. This may include names, contact details, service addresses, property details, preferred dates, messages, access instructions, quotes, invoices and relevant service photographs. Hosting and security systems may process technical details such as IP addresses and access logs. We seek only information reasonably necessary for the purpose.

3. Website forms and required fields

The enquiry form asks for a name, phone number, valid email address and service choice so we can respond and prepare a quote. Property details, messages and preferred timing help us assess the job. If you do not provide enough information, we may be unable to quote or arrange the requested service. You can contact us by phone or email instead. Do not put alarm codes, identity documents or sensitive information in an initial enquiry.

4. Purposes and lawful grounds

We process information to respond, prepare quotes, arrange and perform services, communicate, invoice, reconcile payments, resolve complaints, maintain security and meet lawful record-keeping requirements. Depending on the purpose, processing may be justified by consent, steps towards or performance of an agreement, a legal obligation, or legitimate interests recognised by POPIA. We do not treat submitting an enquiry as consent to unrelated marketing.

5. Cleaning assistant

The guided cleaning assistant uses your message and recent conversation to help prepare an enquiry. Current conversation history is held in page memory and sent to this website’s server for a guided response. This assistant does not forward chats to an external AI provider. Avoid supplying passwords, banking credentials, identity documents or unnecessary sensitive information. Hosting security logs may still record technical request information.

6. Recipients and service providers

Information may be shared with authorised staff and providers involved in hosting, email, messaging, IT support, accounting and service delivery, only as relevant to their task. Staff and contractors must keep information confidential. Operators processing information for us must be covered by appropriate written security and confidentiality arrangements.

WhatsApp operates under its own privacy terms when you choose that channel. Disclosures may also be made where lawfully required or necessary to establish, exercise or defend rights. We do not authorise providers to use customer information for unrelated purposes merely because they assist us.

7. International processing

Some providers may process information outside South Africa. Transfers must meet a permitted basis under POPIA section 72, such as adequate legal or contractual protection or another applicable statutory basis. You can ask the Information Officer about the safeguards relevant to your information.

8. Security and compromises

We will maintain reasonable technical and organisational safeguards appropriate to the information and risks, limit access to authorised people and review those safeguards. This is not a guarantee that an internet system can never be compromised. Where there are reasonable grounds to believe information was acquired or accessed without authorisation, we will investigate and make notifications required by POPIA.

9. Retention

We retain information only while justified by its purpose, a permitted business need, an applicable legal requirement or the establishment, exercise or defence of rights. Unsuccessful enquiries, access instructions and service photographs should not be kept indefinitely. When retention is no longer justified, we will securely delete, destroy or de-identify the information.

Retention depends on the record and applicable duties. A legal hold may require restricted retention while a dispute or investigation is resolved. Contact the Information Officer to ask about a record, its retention period or deletion. Access information should be removed or returned when it is no longer needed for the authorised service.

10. Marketing and photographs

We will send electronic direct marketing only where permitted by POPIA. Marketing consent, where requested, must be separate and optional, and you may opt out using the contact details below. Necessary booking and service messages may continue. Identifiable service photographs must not be reused for advertising merely because they were originally taken to document a job.

11. Your rights

Subject to applicable conditions, you may ask whether we hold your personal information, request access or correction, request deletion of information we are not entitled to retain, object to certain processing or withdraw consent where it is the lawful basis. Withdrawal does not invalidate prior lawful processing. We may reasonably verify identity to protect information from disclosure to the wrong person. Contact our privacy email below; statutory requests can also follow the PAIA process.

12. Children

Our enquiry and booking services are intended for adults arranging cleaning. We do not seek unnecessary information about children. Where a child’s information must lawfully be processed, appropriate authority and statutory safeguards are required.

13. Complaints and changes

Contact the Information Officer using the details below about privacy concerns. You may also complain to the Information Regulator (South Africa); its contact channels and complaint forms are available at inforegulator.org.za. Updated policies will carry a new version identifier. Material processing changes require review of this notice and any necessary lawful permissions.

Information Regulator (South Africa): 010 023 5200; general enquiries: enquiries@inforegulator.org.za; relevant complaints: POPIAComplaints@inforegulator.org.za. Physical address: Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191. Current forms and contact channels are available at inforegulator.org.za/contact-us/.

14. Agreement and enquiry records

For a submitted enquiry, we record your service-terms choice, privacy-notice acknowledgement, the policy version, a server timestamp and an enquiry reference with your contact and job details. These records help us administer the enquiry and demonstrate what was agreed. Acknowledging the privacy notice is not blanket consent to every use of personal information or consent to marketing. Necessary enquiry handling may rely on steps towards an agreement or another lawful POPIA basis, as applicable.

When you choose on a standalone policy page, a one-time sessionStorage entry passes your choice and policy version to the enquiry page. It contains no name or contact details, is removed when read, and is disregarded after 15 minutes. It is not a marketing identifier. The bottom agreement banner separately remembers an explicit choice, policy version and timestamp in sessionStorage for the current browser tab, without contact details. Choosing on that banner alone does not send an enquiry or store a server-side acceptance record. Use “Review my agreement choice” in the footer to change it. Scrolling, ignoring the banner or declining is not treated as agreement. Choosing “I disagree” does not submit the form or record acceptance. Merely browsing the website is not treated as accepting a cleaning contract. Contact the Information Officer at info@oceanhorizoncleaning.com or 084 956 4051 for privacy requests.
